FULL DAY RATE

6-8 CONSECUTIVE HRS OF CONSECUTIVE HEADSHOTS

A full day of headshot coverage is a wonderful solution for a full day conference or trade show event. This includes setup and up to 6 consecutive hours of availability for headshots or a mix of executive branding, behind the scenes or services and general headshot photography. We can set the pace according to your needs and the schedule of your event or staff. If you have a large team or number of attendees to get through, we can get about 25-30 people through per hour with one retouched image each. If refinement in quality of images is a must, we can slow down to get more variety and dial in our best images, moving 4-12 people per hour with several hand-retouched images each. We are flexible and will put together a custom plan for your needs.

HALF DAY RATE

UP TO 4 CONSECUTIVE HOURS OF HEADSHOTS

For smaller events, we offer a half day solution. This option includes the same service and experience as our full day of coverage but in a 3-4 hour window. As stated in our full-day description, we can either get 25-30 people through the headshot booth quickly per hour with one headshot each, or offer a more custom refined experience with 4-12 people per hour and several retouched final images. We are flexible and will put together a custom plan for your needs.

When you have more people than we can photograph with a single headshot station (25-30 ppl per hour) we can add additional stations to your event. For larger conferences with thousands of atendees, this is a wonderful option.

HAIR &MAKEUP

Upgrade the experience with a hair & makeup station. Our licenced professional HMUA artist will sit down with ladies and men to give a final polish before they are photographed. This includes makeup touch-up, final hair placement & styling, lint-rolling or taping clothing into place, glasses cleaning, and any other details to make sure our final images are polished. This is not a “full hair and makeup” service, more of a “touch-ups and final inspection before jumping in front of the camera” service.

EVENT PHOTOGRAPHY

If we are using the headshot station during a conference where atendees are only coming during those times in between speakers/workshops, we can add event photography to the day. This includes candid photography of the speakers, breakout sessions, groups, and other storytelling photos to use in future marketing of the event.

How many people can you photograph per hour?

This is always the first question I get! The answer is…..it depends on what we prioritize based on your needs. Here is how we like to think of it:

1. I WANT TO ENSURE AN AWESOME CLIENT EXPERIENCE WHERE EACH PERSON HAS THE BEST IMAGE POSSIBLE: 5-10 min/person

This method works well if you are a company wanting consistent headshots for your employees, team, or small group. We have found that if you’d like each person going through the headshot station to have a good experience where we have enough time to chat through the process, fine-tune the hair and clothing, relax, take a few photos from each side of the body to offer a variety of shots for them to choose a favorite; that process takes at least 5 minute per person. If we are offering a few different poses (example – standing up, sitting on a stool, leaning on a chair) that takes closer to 10 minutes per person.

2. I’D LIKE A HIGH VOLUME OF PEOPLE TO HAVE THE OPPORTUNITY TO GET PHOTOGRAPHED: 2 min/person

This works well if you are hosting a conference or event where you have hundreds of people together for just one or two days, and would like to get as many people photographed as possible. When we have a large event where the priority is to try and get as many people photographed as we can, we constrain the “client experience” and move people through the line much quicker. This results in less variety of images for them to choose and a greater risk we haven’t fine-tuned each person’s image, but it allows us to get more people through the line per hour.

 

Please note: If a half or full day session is scheduled with back-to-back pre-scheduled headshots, we will try to schedule 15 minute “catch-up” breaks every 2 hours. A “Full Day” headshot station will also include a 45 min break for the photographer to eat lunch.

What are your requirements for space, power and internet to setup a Headshot Station?

Ideally we would like to set up in a space that is 12ft by 8ft for our backdrop, lighting, camera and laptop. There should be space for people to stand in line (if needed), check in table and “get ready” table (if needed), space for people to walk into and out of the station, and a space for the photographer to stand behind the camera with a laptop computer nearby.

The picture to the right shows one setup we use often. In this case, an empty conference room was used that already had some rolling tables and chairs, which we incorporated into our flow.

We also will need access to an outlet to power the laptop. If we are sending online galleries to each person, we will also need a internet access with a reasonably good upload speed.

What if our event schedule only allows the headshot station to run in disconjunct sections over the course of a day?

Headshot pricing is based on consecutive hours, not a “pick-and-choose” hourly rate over the course of a day. We realize that in a conference-style setting there might be chunks of time where attendees are required to be in sessions and we try to schedule the most efficient part of the day for headshots. We also offer an upgrade to add “event photography” during those times when keynote speaches, breakout sessions, or group meetings are happening while the headshot station is closed.

If a half or full day session is scheduled with back-to-back pre-scheduled headshots, we will try to schedule 15 minute “catch-up” breaks every 2 hours. A “Full Day” headshot station will also include a 1 hour break for the photographer to eat lunch.

How to the people photographed get their headshot files?

We have a few different systems depending on your needs. Here are two examples: 

1. We can gather each person’s name and email as they enter the headshot station and directly email them their headshot file.

2. We can name files based on a “First Name_Last Name_Number” style system

3. We can send a key person an online gallery of everyone’s image and not give files to each person if more file control is needed. 

What's the difference between a standard "on-location" headshot session and a "Headshot Station"?

For teams of 25 people or less, it’s more economical to book an “on-location Headshot Session” for your small team.

When you have more than 25 people to photograph in a single timeblock, the half day rate makes more sense.

How far in advance can I reserve my Headshot Station?

Reach out anytime to reserve your event in our system. We often have large events schedule 8-12 months in advance, but for more urgent needs we can accomodate even a week or two in advance if our schedule is open.

Please note: August, September and October are our busiest months and tend to book out at least 2 months in advance.
